When you write a bid, what is the best way to win? How should you structure it? What should you include and what should you leave out. A good bid writing firm will be able to tell you all this and more. A good way of looking at writing a bid is to think of it as a boxing match. You have opponents (the other bidders), a referee (the rules of the ITT) and judges (evaluators). You have ten rounds, ding, ding Round 1

Round one starts long before the actual bid submission. You must know the rules, have learnt your craft and have the bid writing tools at your disposal. This means that you should have the necessary policies to hand and that you should also ensure they are up to date. If they have not been reviewed make sure you do so now and amend the date.
Read everything in the bid at least twice and make sure you really want to bid for the project, can you win it?

Have you enough resources to write the bid? Do the people you have in mind really have the knowledge to write a bid? Make sure that the people on your bid team fully understand what is expected of them. Appoint a bid manager, someone who is good at organising and has good attention to detail.

Arrange to have a good proof reader in place and don’t forget to speak to a printer who can both print and bind your bid if a hard copy is requested. Buy some extra CD’s and check that your CD writer is working. If you are submitting via an e-portal make yourself familiar with the layout and upload/download sections. Make sure you know where the clarification questions and additional information are stored. If the portal allows you to practice uploads then make sure you use it. For e-portal submissions you should be aiming to upload no later than one day BEFORE the deadline. Dont forget to type your responses in Word and check for spelling before pasting into the online response boxes. It looks better and gives you a permanent record of what you have written without the need to log on.
